Set up classes, bookings and waitlists
Create a recurring class schedule, choose credit and cancellation rules, manage generated instances and understand waitlist promotion.
A class schedule is the recurring rule; a class instance is one concrete date and time that members book. JollyBee generates instances 90 days ahead from active schedules.
Create the timetable
Open Admin → Events & Classes → Classes → New class and set:
- Name, description, instructor and location.
- Repeating weekdays, local start time, duration, first date and optional end date.
- Optional capacity.
- The required session-pass offering, or any eligible session pass.
- How many hours before class booking opens.
- The cancellation grace period and optional reminder time.
Save the schedule as Active to generate future instances. Regenerate 90-day window fills the forward window again when required.
Pausing, archiving or editing the recurring schedule changes future generation. It does not automatically remove instances that were already materialised. Open the instance list and cancel or correct those dates individually, especially after a venue, instructor or holiday change.
Who can book
An eligible active holding can cover a booking in one of three ways:
- A session pass with a positive credit balance.
- A membership with a fixed number of classes per period.
- An active membership with unlimited class access.
A confirmed credit-based booking consumes one credit. Unlimited access records the booking without reducing a balance.
Capacity and waitlist behaviour
Booking and waitlist placement are atomic, so two people cannot both take the final seat. When a class is full, a member can join the waitlist without spending a credit.
When a confirmed booking is cancelled, JollyBee attempts to promote the waitlist in first-in order. A credit-based member must still have an eligible credit at promotion time; joining the waitlist was not a reservation of that credit.
A member cancellation before the configured cutoff refunds the booking credit. A late cancellation does not. Owners should use the instance roster to mark attendance or no-show and to cancel an entire affected instance deliberately.
