Set up family and concession membership prices

Work through Community B's R460, R295 and R230 example, or adapt the same owner-managed rules for your own community.

Use separate offerings when a person buys their own concession membership, and group person types when the lower price is an extra place managed by a primary holder. Prices and eligibility rules are community configuration; JollyBee does not hard-code one club's categories.

Community B worked example

For the Community B setup, make every membership Rolling for 365 days with an annual billing period:

  • Senior is a standalone membership at R460.
  • Additional family member is a paid extra place at R295 under a primary family contract.
  • Full-time student is a standalone membership at R295, using the existing Student validation.
  • Age 60+ is a standalone membership at R295, using the existing Senior validation with a minimum age of 60.
  • Outside Western Cape is a standalone membership at R230.

The word “Senior” is the club's category label here; do not silently apply the Age 60+ rule to the R460 offering. Put the minimum age and proof requirements on the explicit R295 Age 60+ offering.

Every recurring buyer checkout starts with Renew automatically ON. The buyer can turn it off before paying or later from their membership controls. Renewal uses the then-current configured price after notice, so the amounts above are not frozen into existing holdings.

Start with the full membership

Create the ordinary membership with its full primary price. For a membership valid for one year from the purchase date, use Rolling, set 365 days, and use an annual billing period. Every recurring membership offers auto-renew and starts ON in buyer checkout; the buyer can turn it off.

Upgrade an existing member to Member + Spouse

When somebody already holds the ordinary individual membership, use Upgrade to Member + Spouse from that membership's controls. Do not send them through ordinary checkout for the group offering: conversion must cancel the individual contract and create the group primary together so two renewable memberships cannot overlap.

The new group primary keeps the current membership's exact paid-through and expiry dates. The one-time conversion charge is only the positive difference between the group primary price and individual price, prorated over the time remaining in the current period. A same-price or cheaper group primary costs zero today; it does not create a refund or account credit.

After conversion, add the spouse from the new group's people controls or send the spouse invitation. That second place uses the existing group-seat price and the offering's full-price or daily-proration policy. At the next renewal, the primary contract pays the then-current group primary price plus the spouse place.

Add paid family places

Turn on Group / family and configure the maximum number of people of each type. The primary holder fills one allowed type, so include that place in the type's maximum and mark the intended primary type as allowed and default. Use R0 as that primary type's extra-place price because the offering's main price already charges for the primary. Give each additional type its renewal price; in the Community B example, each R295 type is entered as 295.00.

Use the R295 group person type only for an actual additional-family place managed by the primary holder. A student or age-60+ buyer who owns their own membership should use the separate standalone offering instead.

The dependant joins or accepts an invite and supplies the required details. A paid place can require approval before payment, or accept payment and remain pending review. Every current place ends with the primary period. At renewal, the primary contract is charged the current primary price plus the current price of each unreleased place, after notice.

Add standalone concessions

Create a separate offering when the discounted person should hold and pay for their own membership rather than occupy somebody else's group:

  • For the R295 Student offering, set Validation type to Student, then configure the instructions and proof-file requirement.
  • For the R295 Age 60+ offering, set Validation type to Senior, set the minimum age to 60, and configure any proof requirement.

These are separate memberships, so no combined Student-or-60+ rule is necessary. Each application follows the existing offering validation and approval queue before access is activated.

For an upcountry price, create a separate offering and add a residency condition in outside mode with Western Cape as the excluded province. Ask for the member's province in the wizard. Keep the rule owner-editable rather than hard-coding a province into payment code, because every community can define its own regions and evidence.

Test the complete setup

Use test members representing every route, including one person who should be rejected. Confirm the primary occupies one place, dependant capacity is correct, each checkout amount matches the configured price, review timing is respected, and a 365-day term ends 365 days after it begins.

Family early-renewal specials

The community owner sets whether a campaign's price benefit applies to the whole current family contract or the primary price only. The primary redeems once and receives one exact quote for the primary plus every current included paid dependant place. The preview lists each line's ordinary price, discount, payable amount and new paid-through date. Released places are not charged.

Check this setting before publishing because the family total may have changed since the primary first joined. The campaign's displayed family scope, redemption limit and refund policy apply to that quote; dependants do not separately redeem a whole-contract renewal.
