Renewing your permit or membership

When a permit or membership ends, what JollyBee sends beforehand, where to renew it, how automatic renewal works and what happens to a numbered board.

How a permit or membership is renewed depends on how the community set it up. Some run for a period that starts on the day they were paid for, such as a month or a year, and those can renew. Others end on the same fixed date for everyone, such as a season permit, and those are bought again when the community opens the next one. This guide covers both, along with renewal reminders, automatic renewal, expiry dates and numbered boards.

Check when it ends

Sign in, open the community and choose Manage membership, or open the Command Centre and look under Payments & renewal. Each membership card shows the date it ends, labelled Renews, Expires or Renew by. Show digital card opens the digital pass, which shows the same date.

Memberships that renew automatically

At checkout the box Renew automatically is ticked unless it is switched off. While it is ticked the payment page accepts a card only, because only a card can be saved for the next charge. A saved card shows on the membership card as Card on file.

Before an automatic renewal JollyBee emails a notice that names the amount and the date, and the card is not charged until at least 24 hours after that notice. The new term starts where the old one ended, so no days are lost. A numbered board stays as it is: same board, same number, nothing to collect.

To stop it, choose Cancel auto-renew on the membership card, then Confirm cancel. Access continues to the end of the period already paid for, and Resume auto-renew switches it back on. Forget card removes the saved card and turns automatic renewal off as well.

If the card is declined, JollyBee tries again three days later and seven days later, and says so after the first attempt and the last. After the third failure automatic renewal stops and the membership has to be renewed by hand.

Memberships renewed by hand

A membership paid for by bank transfer, or bought with Renew automatically switched off, does not renew by itself. The community decides when renewal reminders go out. A common pattern is 30, 7 and 1 days before the end date. Each reminder is one message, sent by WhatsApp, email, SMS or an app notification, whichever reaches the member first.

Payment for the next term opens when the current one ends, not before. A reminder that arrives earlier is advance notice. Buying the same membership again while it is still running is refused with the message that the membership is already active.

Where the community allows a grace period, access continues during it, the membership card reads Renewal due and Renew now opens the join page with the same membership listed first. Once a membership has fully lapsed it moves to Past memberships. Renew it from the wallet in the Command Centre, where a lapsed membership has a Renew action, or choose Browse offerings and buy it again.

A term renewed by hand starts on the day the payment goes through. It is never back-dated to the old end date.

Some communities run early-renewal offers under Membership specials. Those add the next term after the current one, so no paid days are lost, and show the new paid-through date before payment.

Permits that end on a fixed date

A season permit, or a calendar-year permit paid for once, ends on the same day for everyone, whichever day it was bought. These never renew automatically, and JollyBee sends no renewal reminders for them. The community announces when the next season or year goes on sale, and it is bought from the community's join page like the first one.

Until then the join page says so. A season that has ended shows that sales reopen when the community sets the next season's dates, and a member who already holds the current season is told they are already covered, with the date. For a calendar-year permit, wait for the community's announcement before buying again. A second purchase made before the community has moved the dates ends on the same date as the first.

Numbered boards when renewing

Where a permit comes with a numbered board, renewing from the join page asks for a collection point again under Your board. What happens next is the community's choice. Either a new board is issued, or JollyBee tries to reserve the number already held. A number can only be kept when it is in stock at the collection point chosen, and otherwise the next available number is given. Where the community assigns numbers at collection, no number is chosen online and the shop hands over the board.

Either way, the payment confirmation page and the board email state the board number, or that it is given at collection, and where to collect it. A permit with a numbered board is renewed on the web, from the community's join page.

If the payment does not go through

Payment did not complete means nothing was charged. Choose Back to join page and pay again. The same payment is reopened rather than a second one started. An unfinished payment also waits in the Command Centre wallet under Needs your attention, with Complete payment.

A page that says the payment was received and needs review means the money arrived but could not be matched to the purchase. Do not pay again. Send the community the reference shown on that page so they can review or refund it.

After renewing

The confirmation page reads Payment complete and the membership appears under Active with Show digital card. For a permit with a numbered board, an email follows with the board details. A membership or season permit has no PDF. The PDF permit belongs to day permits, which are bought again for each visit rather than renewed, as described in Your day permit: what to do on the day.

A membership held through someone else's group plan reads Renews with the primary membership and is renewed by the person who holds the plan. If a renewed membership does not appear, give the community the payment reference from the confirmation page so they can trace it.
